Serenity Place, LLC ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains what information we collect through our website, www.SerenityPlaceLLC.com, how we use it, and your rights regarding that information.

A. Information You Provide Directly

  • Contact form submissions (name, email address, phone number, message) — submitted via Hushmail

  • Newsletter sign-ups and profile creation (managed through Wix)

  • Appointment requests (submitted via SimplePractice) and client intake forms (submitted via Hushmail)

B. Information Collected Automatically

When you visit our website, we may automatically collect:

  • IP address

  • Browser type and operating system

  • Pages visited and time spent on the site

We use standard analytics tools (such as Google Analytics) to collect this data. You may opt out of Google Analytics by visiting: https://tools.google.com/dlpage/gaoptout.

Appointment scheduling is managed through SimplePractice, a HIPAA-compliant practice management platform. Client intake forms are collected via Hushmail's secure web forms (Hushforms).

We do not knowingly collect personal information from children under the age of 13. See Section 8 for details.

2. How We Use Your Information

We use the information we collect to:

  • Respond to your inquiries and contact requests

  • Schedule appointments and provide mental health services

  • Send newsletters or updates (only if you have opted in)

  • Improve our website and services

  • Comply with legal and regulatory obligations

We do not sell your personal information to third parties.

3. Sharing Your Information

We do not share your personal information except in the following limited circumstances:

  • Service providers: We use the following trusted platforms to operate our practice:

    • SimplePractice – for appointment scheduling and practice management (HIPAA-compliant)

    • Hushmail – for secure, encrypted email, web forms, client intake, and contact forms (HIPAA-compliant)

    • Wix – for website hosting, newsletter subscriptions, and user profile management

    Please note that Wix is not a HIPAA-compliant platform. Do not submit personal health information through any Wix-managed forms or profile fields. SimplePractice and Hushmail are bound by Business Associate Agreements (BAAs) and are contractually required to protect your information in accordance with HIPAA. Wix operates under its own privacy policy, available at www.wix.com/about/privacy.

  • Legal requirements: We may disclose information when required by law, court order, or government request.

  • Safety: We may disclose information when necessary to protect the rights, safety, or property of Serenity Place, LLC, our clients, or others.

A note about health information: If you are a client and share personal health information with us, that information may be protected under HIPAA. Please refer to our Notice of Privacy Practices (available in-office or upon request) for full details on how we handle protected health information.

4. Cookies and Tracking Technologies

We may use cookies and similar tracking technologies to analyze how visitors use our site and to improve your experience. Cookies are small text files stored on your device.

Your choices: You can disable or delete cookies through your browser settings. Note that disabling cookies may affect some website functionality. Most browsers also allow you to set preferences for third-party cookies specifically.

5. Data Security

We implement reasonable administrative, technical, and physical safeguards to protect your personal information from unauthorized access, disclosure, or loss. However, no method of data transmission or storage over the internet is completely secure.

Sensitive client communications, intake forms, and contact forms are transmitted through Hushmail (including Hushforms), which uses end-to-end encryption. Client records are stored within SimplePractice, which maintains HIPAA-compliant security standards.

Please do not submit sensitive personal health information (such as your diagnosis or full medical history) through general website contact forms or Wix-managed fields. If you need to share sensitive information, please contact us by phone or use our secure Hushmail forms.

6. Data Retention

As a mental health practice, we are required to retain client records in accordance with applicable federal and Maryland state law. Client records are maintained for a minimum of five years from the date of last service, or longer as required by law. We do not delete client records upon request where retention is mandated by HIPAA or state regulations.

For non-client information (such as contact form submissions or newsletter sign-ups), we retain data as long as reasonably necessary for business purposes.

7. Your Privacy Rights

Depending on your location, you may have the right to:

  • Access: Request a copy of the personal information we hold about you

  • Correction: Request that we correct inaccurate or incomplete information

  • Deletion: You may request deletion of non-client personal information (such as contact or newsletter data). Please note that client health records cannot be deleted upon request, as we are legally required to retain them under HIPAA and Maryland state law.

  • Opt out: Unsubscribe from marketing emails at any time using the unsubscribe link in any email we send, or by contacting us directly

To exercise any of these rights, please contact us using the information in Section 10.

8. Children's Privacy (COPPA)

This website is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has submitted personal information to us, please contact us immediately.

9. Third-Party Links

Our website may contain links to third-party websites. We are not responsible for the privacy practices or content of those sites, and this Privacy Policy does not apply to them. We encourage you to review the privacy policies of any external sites you visit.

10. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will post the revised version on our website with an updated effective date. We encourage you to review this page periodically. Continued use of our website after any changes constitutes your acceptance of the updated policy.
